Job Purpose:

The Office Administrator is fully trained in the duties of the Office Administrative Assistant and can fill in as required. The position is responsible for the full range of duties associated with truck and railcar shipments.

Essential Duties and Responsibilities include the following:

  • Responsible for Delta Truck movements and scheduling: point of contact for in-route arrivals and releases
  • Support Logistics supervisor for Rail Movements in/out of Delta (including CRE in/out car movements)
  • Create job orders for pick-up and delivery
  • Set up new drivers, file all Certificates of Insurance for Delta movements
  • Daily calculation of tank inventory and levels to determine available inventory, providing customer reports daily
  • Add BOL’s to calculate existing inventories, save on network drive; research, resolve and communicate discrepancies and file documents
  • Coordinate daily updates on track movements advising Lead Operator, Supervisor, customers and Logistics Supervisor
  • Calculate to add temperature and gravity for the cars
  • Update asphalt heating spreadsheet daily, research discrepancies, communicate to customer and accounting as needed.
  • Coordinate monthly billing listing individual railcar, customer and amount; forward to Denver Accounting to issue invoices by 5th work day of each month
  • Monthly rail balancing to ensure accuracy of data
  • Enter total barrel data for various asphalt customers after performing necessary calculations
  • Track monthly demurrage charges for Railcars, verify with Logistics Supervisors and submit month end billing to accounting department
  • Update end of month billing spreadsheet and send to accounting by 5th working day of month; summarize monthly charges for Transloading, storage, demurrage fees, switch fees and heating costs
  • Other duties as requested by supervisor

Education and Basic Requirements

  • High School diploma or equivalent
  • Able to read, write and speak English
  • Have reliable transportation to and from work
  • Must be able to successfully pass Drug and Alcohol pre-employment and ongoing screening

Experience and Job Skills

  • Good communication skills with Spanish being a plus
  • Able to multitask, prioritize work assignments and meet deadlines
  • Consistently performs with a high degree of accuracy
  • Highly self-motivated, persistent and dependable
  • Able to communicate effectively with customers
  • Microsoft Office Suite with emphasis on Excel and Word

Working Conditions

  • Must be able to work effectively in an team environment
  • Capable of lifting 20 lbs.
